What goes on a salary slip
| Part | Common items |
|---|---|
| Earnings | Basic pay, HRA, special allowance, conveyance, LTA, bonus, overtime |
| Deductions | Provident fund, ESI, professional tax, income tax (TDS), loan or advance recovery |
| Details | Employee name and ID, designation, PAN, UAN, bank account, working and paid days |
| Totals | Gross earnings, total deductions and net pay, in figures and words |
Net pay is gross earnings minus total deductions. If an employee took unpaid leave, reduce the earnings for the loss-of-pay days before entering them; the slip shows the working days and paid days alongside.
The usual deductions
- Provident fund (EPF): 12% of basic pay from the employee, often applied only up to the ₹15,000 wage ceiling (₹1,800 a month). The employer’s matching share is not deducted from the salary.
- ESI: 0.75% of gross pay for employees earning up to ₹21,000 a month, where the employer is covered.
- Professional tax: set by the state, at most ₹2,500 a year; not every state levies it.
- Income tax (TDS): the year’s estimated tax spread over the months. Estimate it with the income tax calculator.
Totals that do not add up
Banks and embassies check that gross minus deductions equals net pay. The tool calculates the totals for you.
Printing the full bank account number
Only the last four digits are needed; the tool masks the rest.
Slips that differ from the bank credit
The net pay on the slip should match what reaches the employee's account each month.
