Minutes of Meeting Email: Format, Subject Lines and Samples (Client, Team, Boss)

How to write a minutes of meeting (MoM) email: the format, subject lines that get opened, and copy-ready samples for a client, your team and your manager, plus a short meeting recap email.

A minutes of meeting email has a clear subject (for example "MoM: Website kickoff, 12 Nov"), one line of context, then the decisions, the action items with owner and due date, open questions and the next meeting, and a closing line asking for corrections within two working days. Send it the same day to everyone who attended and anyone who owns an action item.

The minutes of a meeting are only useful if people read them, and most people read email. Here is a format that gets read, subject lines, and samples you can copy.

The format

  1. Subject: MoM + meeting name + date.
  2. One line of context: "Thanks for today's call. Here is what we agreed."
  3. Decisions: one line each.
  4. Action items: numbered, each with owner and due date.
  5. Open questions and the next meeting.
  6. Closing: "Let me know of any corrections by Thursday."

Subject lines

  • MoM: Website redesign kickoff, 12 Nov 2026
  • Minutes: Weekly marketing sync, 12 Nov
  • MoM + action items: Q4 budget review (action needed by Fri)
  • Recap: Call with Meera, Brightline, 12 Nov

Sample: minutes of meeting email to a client

Subject: MoM: Website redesign kickoff, 12 Nov 2026

Hi Meera,

Thanks for your time today. Here is what we agreed.

Decisions

  • Launch on 1 December.
  • The homepage uses your own photos, not stock images.

Action items

  1. Send the revised quote: Anjali, by Fri 14 Nov
  2. Share brand assets and photos: Meera, by Sat 15 Nov
  3. Estimate the Malayalam version: Rahul, by Fri 14 Nov

Open question: who will translate the content into Malayalam?

Next meeting: Wed 19 Nov, 11:00 IST, design review.

Let me know of any corrections by Thursday.

Anjali

Sample: to your team

Subject: Minutes: Weekly marketing sync, 12 Nov

Hi all, minutes from today.

Decided: pause the Facebook campaign; move the budget to Google Search.

Actions: 1. Rahul: pause the campaign today. 2. Priya: draft the new ad copy by Wed. 3. Sam: report on Search results next Monday.

Open: do we need a new landing page? (Priya to check by Wed)

Sample: to your manager

Subject: Recap: Vendor call with Brightline, 12 Nov (decision needed)

Hi Arun, quick recap of the vendor call.

Outcome: they can deliver by 1 Dec at the quoted price if we confirm by Friday.

I need from you: approval to confirm by Fri 14 Nov.

Next steps: I will send the signed order the same day you approve.

Put what you need from the reader first. Managers read the first two lines.

Short meeting recap email

For a quick call, three lines are enough: "Thanks for the call. We agreed X. Next: Anjali sends Y by Friday."

Writing it faster

Questions this raises

What should the subject line of a minutes of meeting email be?

Start with "MoM" or "Minutes", then the meeting name and date, for example "MoM: Website redesign kickoff, 12 Nov 2026". Add "Action needed" when the reader owns a task.

Who should receive the MoM email?

Everyone who attended, anyone who owns an action item, and anyone who needs the decisions but was not there. For client meetings, send the client version to the client and keep internal notes separate.

When should I send minutes of meeting?

The same day, within 24 hours at most. Minutes sent days later are rarely read and are harder to correct.

Should I attach the minutes or write them in the email?

Write the key points in the email body so they are read, and attach a PDF for the record. Many people only read the email.
